Bookings
Birthday Party bookings can be made through our online booking system via the Ice Arena website. Simply select your preferred party date, complete the booking form with your party details, guest numbers and food selections, then pay the required $200 booking deposit to secure your reservation.
We recommend making bookings at least seven (7) days in advance to ensure availability and allow adequate preparation time. However, we understand that celebrations don't always come with plenty of notice, and we are happy to accommodate short-notice bookings wherever availability and operational requirements allow.
Once your booking has been completed and we have received your deposit, you will receive an email containing a unique booking link. This link allows you to review and modify your booking details, guest numbers and food selections at any time up until 6:55pm on the Wednesday prior to your weekend party.
A reminder email will be sent on the Tuesday before your party, prompting you to review and finalise your booking details using your booking link.
After 6:55pm on the Wednesday before your party, no further changes can be made through the online system.
Any further changes after this time will need to be made via email or phone call.
Payments
A $200 deposit is required to secure your booking. Until this deposit has been paid, your selected party session may remain available for other customers to book.
At 7:00pm on the Wednesday before your party, the remaining balance of your booking will automatically be charged using the payment method provided during the booking process.
The final payment will be based on the booking details, guest numbers, and food selections recorded in your booking at the time the booking closes.
If you wish to add additional guests after the final payment has been processed, please contact us by phone or email and we will do our best to accommodate your request.
Subject to capacity and availability, additional guests may also be added on the day of the party. Any additional charges for these guests will be payable when they arrive or before they participate in the party activities.
If fewer guests attend than anticipated, please understand that catering, staffing and party preparations are arranged based on the final numbers confirmed at the booking cut-off time.
Cancellations
The Ice Arena has a 7-day cancellation policy for Birthday Party bookings.
Bookings cancelled more than seven (7) days before the party date are entitled to a full refund of the $200 booking deposit.
For cancellations made within seven (7) days of the party date, the booking deposit is generally non-refundable.
We understand that unexpected situations, including illness, can occur. If circumstances beyond your control prevent your party from proceeding, please contact us as soon as possible. Wherever practical, we will work with you to reschedule your booking rather than have you forfeit your deposit.
Food
No outside food or drink is permitted within the Ice Arena, with the exception of:
- A birthday cake for the party celebration.
If a party guest has been diagnosed with Coeliac Disease, suitable food for that guest must be supplied by the parent or guardian. Due to the nature of our kitchen and the presence of gluten-containing products, we cannot guarantee that food prepared on-site is free from gluten cross-contamination.
If any guests attending your party have allergies, intolerances or dietary requirements, these must be communicated to the Ice Arena as soon as the booking parent becomes aware of them. Early notification allows us to provide appropriate advice and discuss available options.
A time for party food service will be allocated to the booking parent on the day. Food service times cannot be altered due to multiple parties and venue operations occurring simultaneously.
We provide plates, cutlery, and napkins for party meals and birthday cake service, including BYO cakes. Candles are not supplied; however, we can provide a lighter if required.
Additional food and beverages from our regular menu may be purchased on the day from our Coffee Shop, subject to availability.
No other party platters may be added to your party on the day of. These must all be placed in and paid for during the final booking payment.
